This Privacy Policy explains how 3 Red Birds Coaching collects, uses, stores, and shares personal information when you visit our website, contact us, request a free resource, subscribe to emails, schedule an appointment, register for a program, make a purchase, attend an online offering, or participate in a private community.

3 Red Birds Coaching is operated by Looking Glass Counseling LLC.

For purposes of this Privacy Policy, “3 Red Birds Coaching,” “we,” “us,” and “our” refer to 3 Red Birds Coaching and Looking Glass Counseling LLC. “You” refers to website visitors, subscribers, clients, participants, registrants, and purchasers.

3. Contact Forms and Google Drive

When you submit a website contact form, the submission may be sent to 3 Red Birds Coaching by email and stored through our connected Google Drive form or spreadsheet.

The information may include your name, email address, telephone number, written message, and any other information you voluntarily enter.

We use contact-form information to:

  • Respond to your inquiry

  • Provide information you requested

  • Communicate about coaching, workshops, or programs

  • Maintain reasonable business records

  • Protect against spam, fraud, misuse, or security concerns

4. Free Resources and Newsletter Sign-Ups

When you request a free guide or resource, we may collect your name and email address. That information is currently stored through Google Drive.

After submitting the form, you may receive direct access to a Canva-hosted document or resource through a link.

Requesting a free resource does not automatically subscribe you to ongoing marketing emails.

The newsletter or marketing-email option is separate, optional, and unchecked by default. You must actively select it to agree to receive newsletters, workshop announcements, program information, or promotional communications.

5. Email Communications

Marketing emails and program announcements are currently sent through our business Gmail account.

You may unsubscribe at any time by replying to an email with the word “unsubscribe.” We will remove your email address from the marketing list within a reasonable period.

Unsubscribing from marketing messages will not prevent us from sending necessary service-related communications, such as:

  • Registration confirmations

  • Appointment information

  • Program updates

  • Payment notices

  • Changes to a purchased service

  • Responses to questions you send us

When an email is sent to multiple recipients manually, reasonable efforts will be made to use BCC or another method that does not disclose subscribers’ email addresses to one another.

6. Scheduling Through Calendly

We may use Calendly to offer consultations or schedule individual coaching appointments.

When Calendly is enabled, it may collect information such as:

  • Your name

  • Email address

  • Telephone number

  • Selected date and time

  • Time zone

  • Responses to scheduling questions

  • Technical and device information collected by Calendly

Calendly processes information under its own terms and privacy practices. Please do not submit medical records, mental-health diagnoses, crisis details, trauma history, or other highly sensitive information through a scheduling form.

7. Payments Through Stripe

Paid programs, coaching services, workshops, courses, or digital products may be processed through Stripe.

Stripe may collect and process payment information, including your:

  • Name

  • Billing information

  • Payment-card or bank information

  • Transaction details

  • Device or technical information

  • Information used for fraud prevention and payment verification

3 Red Birds Coaching does not ordinarily receive or store your complete payment-card number. We may receive transaction information such as your name, email address, amount paid, payment status, transaction date, and limited payment-method details.

Stripe processes payment information under its own terms and privacy policy. Stripe explains that transaction information may be shared with the merchant, financial institutions, and payment providers as necessary to process and protect the transaction. (Stripe)

8. Zoom Consultations and Programs

Consultations, individual coaching sessions, workshops, and group programs may be held through Zoom.

Zoom may process information such as:

  • Your display name

  • Email address

  • Profile image

  • Meeting participation information

  • Audio or video you choose to enable

  • Chat messages

  • Device and connection information

  • Other information you provide while using Zoom

Individual one-on-one coaching sessions are not recorded.

Selected workshops or group programs may be recorded for replay access. Participants will be informed when recording is taking place. Reasonable efforts will be made to record only the facilitator and shared materials and to avoid intentionally including participant names or video.

9. Private Communities and Messaging Groups

Participants in longer programs may be invited to join a private community or group-messaging platform.

Information visible within that community may include:

  • Your name or profile information

  • Posts and comments

  • Questions and replies

  • Reflections you choose to share

  • Photos or files you voluntarily upload

  • Information about your participation in the program

Content posted within the group may be visible to 3 Red Birds Coaching and other registered group members.

Although the group is intended to be private, we cannot guarantee that another participant will maintain confidentiality or refrain from taking screenshots, copying, or sharing information.

Please share only information you are comfortable disclosing to other group members. Do not post confidential health, medical, mental-health, financial, crisis, or other highly sensitive information.

The chosen community platform will also process information according to its own privacy policy.

10. Information Collected Automatically

When you visit the website, Squarespace and related technology providers may automatically collect technical or usage information, including:

  • Internet Protocol address

  • Browser type

  • Device type

  • Operating system

  • Pages visited

  • Referring website

  • Approximate location derived from an IP address

The website uses Squarespace’s built-in website analytics.

3 Red Birds Coaching does not currently use:

  • Google Ads tracking

  • Pinterest tags

  • TikTok Pixel

  • Other targeted-advertising pixels

We do not currently use personal information for cross-site behavioral advertising.

3 Red Birds Coaching does not sell or rent personal information.

We share information only as reasonably necessary to operate the business, deliver requested services, use third-party providers, protect legal rights, or meet legal obligations.

18. Sensitive Information

Our website, contact forms, scheduling forms, registration forms, email, and private communities are not designed to collect:

  • Medical records

  • Mental-health diagnoses

  • Medication information

  • Detailed trauma histories

  • Crisis or emergency information

  • Social Security numbers

  • Complete financial-account information

  • Other highly sensitive personal information

Please do not submit this type of information through these systems.

Coaching provided through 3 Red Birds Coaching is separate from counseling provided through Looking Glass Counseling. Submitting information through the 3 Red Birds Coaching website does not create a therapist-client relationship.

19. Data Retention

We retain personal information only for as long as reasonably necessary to:
